Summary:
The Administrative Assistant is responsible for performing a wide range of administrative tasks in support of the Human Resource office.
The goal of this position is to contribute to the operating efficiency of the assigned department and/or managers, including the Chief Financial Officer and Chief Human Resource Officer.
The Administrative Assistant is responsible for effectively presenting information and responding to questions from senior management, executives, team members, and co-workers.
ESSENTIAL DUTIES Provide a combination of general office, administrative, payroll processing, accounting, and financial support Provide assistance and support to the CEO/CHRO Learn to perform a combination of financial document review, document control and document processing activities Answer the main phone line for Fiscal and Human Resource.
Provide assistance and support to callers Monitor the general email inbox Assist with calendaring and scheduling functions Handle special projects Perform other duties as assigned Create routine and special correspondence Opens incoming mail, scans content, distribution of or filing of documents received to the appropriate person/file.
Prepares outgoing mail, files, faxes, and copies documents, including certified mailings.
Maintains and updates files, spreadsheets, and logs with current data as needed.
Back up to the cash management department for check deposits.
Facilitate the gathering of data for cash availability requests.
Follow-up on outstanding W-9 requests Aid in gathering information for input into Paycom and docuWare.
Maintain team shared calendars.
Requirements:
This position requires a High School diploma, GED, and at least two years of working experience or certification as an Administrative Assistant.
Associate Degree in Business Administration or related field preferred.
Strong problem-solving and analytical skills.
Excellent research, organizational, and time management skills.
Effective communication skills.
Skills:
Intermediate skills in Microsoft Word, Excel, PowerPoint and Outlook are required for this position.
(advanced skills a plus) Keyboarding skills are required for this position, at least 35 WPM.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
