Summary:
Under the supervision of the Advancement Chief of Staff, the Associate Director will provide collaborative support to the Offices of the President, VP Advancement and Board of Trustees.
The Associate Director oversees the operational processes supporting Advancements collaboration with trustees (e.
g.
, communication briefs, advancement-related committee involvement, events and associated stewardship).
This Associate Director will work with the Advancement staff to produce meeting materials, plan and manage agendas, organize timelines, and manage deliverables to meet target outcomes and add value to Advancements partnership with the Office of the President and Board of Trustees.
The role requires flexibility, critical thinking and project management skills, strong attention to detail, and a high level of professionalism and discretion as the Associate Director will manage a team that serves as the primary Advancement division liaison to both the Office of the President and to the Board of Trustees.
Primary Responsibilities and Duties:
The team serves as a central point of contact for real-time information related to the Vice President (VP) Advancement and the Presidents Office.
Oversees and supervises the Assistant Director who serves as Advancements main liaison to the Presidents Office.
Collaborate with faculty-staff in the Presidents Office, Advancement division and other campus school/units to ensure that the President is well-prepared for successful outcomes in Advancement-related meetings, donor contacts, special events, and other engagement opportunities.
Proactively anticipates the VP Advancements expectations and then ensures that the VP is well-furnished and prepared with quality supporting materials (e.
g.
, reports, briefings, and presentations) necessary for successful outcomes in Advancement-related meetings with the president, trustees, university leaders, donors, alumni and Advancement constituents.
Provide similar service to support the VPs attendance at conferences and special events.
Prepares and coordinates communications meant to foster meaningful relationships between trustees, university faculty-staff leaders, alumni, donors and Advancement constituents.
Serves as the final reviewer-editor in written correspondence.
Prepares data and information for the executive-level audience.
Collaborates with Development staff across schools and divisions for Advancement-related board of trustee projects.
Manages the process of preparing and providing meeting materials for trustee committees that intersect with the Advancement division.
Supports staffing at Advancement-led board meetings, facilitating agenda setting and planning, materials production, and minute-taking.
Implements and improves upon documented work processes and systems to support Board of Trustee priorities, new trustee recruitment, and trustee-related meetings and events, in collaboration with the Office of the President.
Assigns deliverables to the appropriate staff, provides clear instruction and oversight regarding completing the necessary materials, obtains necessary approvals and channels materials to the trustees in advance of the meetings.
Supervises the Assistant Director, Trustee Relations Performs other duties as assigned.
Minimum Education and/or Work Experience Bachelors degree Demonstrates a minimum of 5-7 years of professional experience employed in a fundraising or non-profit environment (or equivalent combination of education and professional experience in fundraising, donor engagement, and/or relevant project management experience).
A minimum of 3-5 years tenure and longevity at previous employers, with a history of promotions within organizations is preferred.
Individuals with a history of two years or less in previous roles will not be considered.
Professional experience in project management, strategic communication, fundraising, donor engagement and board management is strongly preferred.
Qualifications Experience in a university setting or a similarly complex organization.
Strong client-facing/relationship management skills.
Outstanding interpersonal and communication skills, characterized by the ability to listen, to speak and to write well with a strong commitment to customer service.
Excellent organizational skills, and a high degree of flexibility and initiative.
Proven ability to manage multiple projects and meet tight deadlines.
Strong critical, creative thinking, and collaboration skills.
Excellent writing and communication skills are required.
Must have the ethics and integrity to manage confidential information with due discretion.
Ability to prioritize tasks and function well in a high-paced environment.
Certificates/Credentials/LicensesN/AComputer Skills Demonstrated knowledge of advanced computer technology and software, especially database management.
Knowledge and experience using a contemporary CRM system preferred.
Required power user knowledge of standard Windows and Microsoft applications such as Excel, PowerPoint, and Access.
Graphic design and data visualization experience preferred.
