Job Purpose:
The Administrative Operations Manager will play a pivotal role in our daily operations, combining strong organizational and administrative skills with strategic planning and leadership.
Your keen eye for detail and process improvement will ensure efficiency, while your people-management skills will foster a positive and productive work environment.
Key
Responsibilities:
Administrative Excellence:
Develop and refine administrative systems and procedures, streamlining processes to maximize team efficiency and reduce operational costs.
Oversee record-keeping, data management, and compliance with company and FedEx Ground regulations.
Lead reporting efforts, tracking key performance indicators (KPIs), generating insights, and providing clear communication to stakeholders.
Manage purchasing, inventory control, and budget reporting, maintaining proper accountability and optimizing expenses.
Operational Oversight:
Supervise daily operations, ensuring timely execution of all routes, adherence to safety protocols, and achieving delivery targets.
Proactively identify and resolve potential bottlenecks, collaborating with dispatchers, drivers, and vendors to maintain seamless service.
Assist with package delivery as needed, demonstrating a hands-on commitment to understanding and improving all aspects of the process.
Team Leadership & Development:
Mentor, motivate, and direct the operations team, providing clear goals, fostering a collaborative environment, and encouraging professional development.
Facilitate regular communication, addressing concerns, ensuring compliance with company policies, and recognizing outstanding performance.
Collaborate with upper management to support recruitment, onboarding, and training initiatives within the operations team.
Customer Focus:
Proactively address customer inquiries, ensuring a high degree of satisfaction and building strong relationships.
Analyze customer feedback, identify trends, and implement customer service enhancements.
Skills and
Qualifications:
Proven administrative excellence:
Minimum of 4
years of consecutive administrative experience, ideally gained in logistics, transportation, or a fast-paced operational environment.
Strong leadership and management skills:
Experience in supervising a team, setting clear expectations, and fostering a positive work culture.
Detail-oriented and process-driven:
Ability to analyze existing processes, identify inefficiencies, and implement sustainable improvements, optimizing both time and resources.
Data analysis and communication:
Proficiency in spreadsheet software and the ability to present key information to upper management clearly and concisely.
Problem-solving and adaptability:
Demonstrated ability to find creative solutions and adjust swiftly in a dynamic environment.
Physical Requirements:
Ability to lift heavy packages and assist with deliveries when needed.
Clean Driving Record:
Required for potential on-the-road assistance.
