Executive Assistant – travel / expenses / meeting coordination!

Wolters Kluwer's Governance, Risk & Compliance division is looking for an Executive Assistant to join our LIS team in Chicago. This position will support executives in our CT business in the Chicago, IL, Minneapolis, MN and Albany, NY offices.

Legal Information Services (LIS) contains our expert information services businesses that serve large corporations, small businesses and law firms. This business area brings its solutions to market as CT, which serves corporations, small businesses, and Law Firms, as well as Corsearch.
Executive Assistant activities include developing and maintaining knowledge of the department and company; assisting with manager communication; managing and maintaining manager schedule; managing travel arrangements and expenses; completing daily administrative functions; overseeing corporate events, meetings, and working sessions and results. This role will also have the opportunity to participate in projects that capitalize on his/her personal knowledge, skills, and abilities.
Essential Duties &
Responsibilities:
Manages and maintains manager schedule
Assists with manager communication by creating, reviewing and formatting communications (presentations, emails, speeches, reports, Excel spreadsheets)
Manages travel arrangements and expenses
Completes daily administrative functions
Oversees corporate events, meetings (e.g., project, town hall, coffee chats)
Participates in ad hoc projects
Represents Wolters Kluwer by developing and maintaining comprehensive knowledge of Wolters Kluwer products
Manages time and company resources appropriately
Proactively pursues professional development activities
Performs other duties as requested by Manager
Qualifications: Minimum requirements:
High School required, college preferred
5 years of administrative experience supporting executives, including:
o Executive calendaring
o Expense reports
o Meeting and event coordination
o Managing travel (international and domestic)
o Advanced Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
o Experience with travel tools and systems
Preferred requirements:
Bachelor's Degree in business or related field
8 years of administrative experience supporting executives, including:
o Preparing materials for meetings (agendas, presentations, documents, notes)
o Preparing executive-facing PowerPoint presentation templates
o Acting as point of contact for Sr. Executive's business commitments
Other requirements and knowledge:
Administrative and clerical procedures
Effective communication skills both written and verbally
Principles and processes for providing customer and personal service
Business and management principles
Knowledge of Wolters Kluwer and CT Corp
Extremely organized and detail-oriented
Strong presentation, execution and analysis skills
Collaborates well with others
Handles sensitive information with complete discretion
Strong project management skills

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
