Office Services and Facilities Coordinator

POSITION PROFILEProvides operations functions in one or all of the following areas:
operates high volume duplicating equipment, performs associated copying tasks, ships and receives product and supplies, sorts, distributes and handles incoming and outgoing mail/faxes, as well as applies necessary postage.
Provides copier maintenance and/or repair of customer site equipment.
May also perform bindery, QC and final check, housekeeping, file services, call center representative, and reception, etc.
May performs various building support functions related to meeting set ups and light maintenance.
Note:
Due to the higher level of presentation and telephone skills needed to perform receptionist duties, employees performing this function are considered to be Senior On-Site Services Specialist.
This position reports directly to the Site Manager, Site Supervisor or Assistant Site Manager, depending on site personnel configuration.
JOB DUTIES AND RESPONSIBILITIESCentral Services - Facility Supporto Respond to incoming facility requests via phone, email and walk upo Track all phone, email and walk ups requests for monthly metricso Process incoming facility requests into TRAC Service Request Moduleo Distribute facility requests approved vendorso Monitor facility requests assigned to approved vendors and update customerso Answer facility related questions via phone, email and walk upo Escalate facility related requests from VP level or higher to customer contacto Contact escort for all visitors or provide escort as neededo Handle incoming and outgoing messenger requestso Work with security and communicate any security breaches or accidentso Retrieve live checks based on identification of user at window and maintain signatureso Answer questions and provide a positive experience to both external and internal customerso Schedule requests for hoteling offices o Track number of appointment requests for monthly metricso Create hotel signage and place o Ensure hotel spaces remain unlocked with drawers lockedo Work with IT department to escalate any issues with copiers/printerso Track all petty cash requests on balance sheet reviewed with Vendor as neededo Answer facility related questions via phone, email and walk upConference Room Supporto Build customer relationships with meeting organizerso Schedule requests for conference serviceso Track number of appointment requests for monthly metricso Arrange for room setupso Arrange for beverage service requestso Work with customer Contact to arrange long term reservationso Work with Office of the Building to arrange rentable space as approved by customero Work with IT department to escalate any issues with A/V and/or phone systemso Check out Conference Center bathroom badges o Answer facility related questions via phone, email and walk upSwitchboardo Answer main telephone line into headquarterso Track intra company and executive calls for monthly metricso Direct all intra-company calls to appropriate departmentso Answer Executive telephone lines as neededo Escalate external customer concerns to appropriate departmento Check voicemail and route messages to appropriate partieso Stock replacement signage drawer allowing hospitality floor representatives to utilize as neededo Update mock copy board in Service Center with all approved postingsQUALIFICATIONS (Education, Experience, and Certifications)Requires high school diploma or GED and 1-2 years of related work experience.
Some related copy job experience is preferred.
May require valid driver's license and minimum levels of auto insurance coverage per Ricoh.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
